Vacation Rental Information

Please note:  The Information contained in this Vacation Rental Information document is in accordance with the North Carolina Vacation Rental Act. The rights and obligations of the parties to a Guest License Agreement are defined by Law. Your signature on this Guest License Agreement, payment of money or taking possession of the premises after receipt of the Agreement is evidence of your acceptance of the Agreement and your intent to use the property for a vacation rental.

•  RESERVATIONS-Telephone reservations can be made from 9AM to 5PM daily, and our weekly vacation rentals begin on Sunday and end the following Sunday. Reservations can also be secured online by logging on to our Online Reservations. Your First Rental Deposit (approximately 50% of rental amount) must be received by our office within 15 days of receipt of your Guest License Agreement. THE FINAL RENTAL DEPOSIT IS DUE NO LATER THAN 30 DAYS PRIOR TO CHECK IN – PLEASE NOTE THAT WE DO NOT SEND OUT PAYMENT REMINDERS CONCERNING THIS FINAL RENTAL DEPOSIT. Accepted forms of payment are either personal check, cash or credit card (VISA or MasterCard). Your reservation deposit(s) will be held in an interest-bearing trust account with interest disbursed to Spectrum Rental Properties. Included in your rental rate is an administration / reservation fee and an Accidental Damage Program (ADP) fee. Please refer to the section labeled Accidental Damage Program (ADP) for an explanation of this beneficial program.

•  TRAVEL PROTECTION INSURANCE - This highly recommended insurance is offered to you for an additional charge equal to 6.5% of your rental amount and should be paid with your initial reservation deposit. It is your option to purchase or decline the insurance; however, if you choose to decline and you cancel your reservation for any reason, including but not limited to HURRICANE EVACUATION, there will be NO REFUND.

•   HURRICANE POLICY - In the event of a hurricane, we will keep our current Guests (renters) informed of any mandatory evacuations that may occur. We will also inform our current renters of any dangers imposed by hurricanes (as reported by the "The Weather Channel"), evacuation routes and shelter information if needed. For Guests arriving after a hurricane comes into our area, please keep in touch with our office for the latest information about your vacation rental. Remember, there will be NO REFUND if your vacation rental property and the immediate area are deemed safe and accessible.

•   DAILY RENTALS - A minimum of one week's rental is required for advance bookings during Summer season. Weekend stays are available in the Summer season on a "pot-luck" basis by calling our office during the week prior to the desired weekend. A two night minimum stay is required for regular weekends, and a three night minimum stay is required for all holiday weekends.

•  TAXES - All rents are subject to NC sales tax (6.75%) and Carteret County occupancy tax (5%), and all published rates are subject to change without notice.

•  CUSTOMER SERVICE - After your reservation has been made, if you need additional information, please feel free to call us on our customer service number at 800-334-6390.

•  RULES AND REGULATIONS - Most condominium complexes have printed rules and regulations. Renters are asked to abide by these rules in addition to the rules of Spectrum Rental Properties. Violations may result in immediate eviction without recourse or refund.

•  TELEPHONE SERVICE - We ask our owners to provide telephone service for local calls and local Internet connection. Long distance or information calls should be charged to renters' home numbers or credit cards. Any charges to rental property phones will be billed to Guests along with a $20 service fee for each call.

•  ABOUT YOUR RENTAL UNIT - Most of our properties are privately owned and reflect the individual taste of each owner. Every effort is made to see that these properties are adequately equipped and properly portrayed in our brochure and website www.spectrumproperties.com. There will be no refunds because of renters' dissatisfaction with the property décor or for errors in our brochure or website.

•   LIMITED OCCUPANCY - Your vacation property should not be used or occupied by more than the maximum allowable number of occupants including family, children and guests. Occupancy regulations allow only two persons per permitted bedroom within each property. Bedding is listed or shown only to accommodate flexibility in sleeping arrangements and not to represent occupancy limits. Every effort has been made to ensure that all property information (including permitting) is accurate and offered according to specific guidelines. However, Spectrum Rental Properties shall not be liable for unintentional errors, omissions, or changes in the advertisement of bedrooms and occupancy. The information herein is believed to be accurate and timely, but no warranty as such is expressed or implied. Overcrowding is cause for immediate eviction without recourse or refund.

•  TERMINATION OF RENTAL - Spectrum Properties reserves the right to refuse or terminate occupancy, if in our judgment, the occupancy would prove detrimental to the rental property.

•  PETS - We have some rental properties that allow our Guests to bring pets. In most cases, there is a non-refundable pet fee charged for this service. Due to condominium association rules, none of our condominium complexes allow pets. Any unauthorized pets in our rental properties will result in immediate eviction.

•  ACCIDENTAL DAMAGE PROGRAM (ADP) - Included in your rental rate is our Accidental Damage Program (ADP). Spectrum Properties does not require a separate security deposit or a security deposit waiver fee in addition to the rental amount. This ADP benefit eliminates renters being held responsible for accidental damage to rental property up to $2,000 resulting from actions taken by you or others in your party. (The Accidental Damage Program does not cover damage by pets.) In order for the ADP to be valid, our office must be notified of any accidental damage during your stay prior to check out. You will also be required to provide a credit card number as a guarantee that you fulfill other rental obligations. You are responsible for leaving your rental property in acceptable condition for other occupants. Your credit card will be debited / charged for intentional destructive acts, gross negligence, excessive cleaning, willful and wonton conduct plus property damage, pet fees (not included / paid in original Guest License Agreement) and other violations.

•  PARKING PASSES, GATE CONTROL CARDS, KEYS - Two keys are issued to our Guests at check in. Some property complexes also require gate cards for entry and/ or parking passes for each vehicle. You will be issued all required keys, cards and all passes (including pool) at check in. All keys and passes must be returned to Spectrum's office upon check out. You will be charged $50w for each key, card or pass that is damaged or not returned to Spectrum Properties.

•  CHECK IN TIME IS 3:00 PM on Sunday- We must have time to inspect, clean and prepare properties before your arrival. Therefore, we would appreciate your observing our check in time of 3:00 PM. Should you arrive after 5:00 PM on your check in day, there is a drop box by the door of our Atlantic Beach Office where you will find your key and other check in information. On the following morning, we would appreciate your contacting our office before 11:00 AM.

•  CHECK OUT TIME IS 10:00 AM on Sunday - All keys, gate cards and parking/pool passes must be returned to our rental office by 10:00 AM on the day of your departure. Any unauthorized late check outs will result in an additional charge based upon the Summer season daily rate. This additional expense will be charged against your credit card.

•  DEPARTURE CLEANING IS PROVIDED BY SPECTRUM PROPERTIES - We ask that you empty the refrigerator & freezer, take out the trash and leave the kitchen area (including dishes / cookware) clean. If the above cleaning procedures are not followed, a minimum of $30 will be charged against your credit card.

•  BOATS AND CAMPERS - Most condominium complexes do not allow boats and campers on their premises. If you are planning to bring your boat or camper, you may need to make arrangements for storage elsewhere.

•  GRILLS - Grills are not allowed on the decks of any condominiums. Please cook only in designated areas at condominium ground levels.

•  RENTAL ITEMS - All extra rental items such as linens, beach umbrellas, cribs, highchairs, etc. must be reserved with Spectrum Properties and paid for in advance. These reserved items will be delivered to and picked up from your rental property on a no charge basis.

•  REPAIRS & SERVICE CALLS - If you find that any repairs are needed in your rental property, please call us immediately. All requests should be reported to our office between 9:00 AM & 5:00 PM each day - we will do our best to take care of these repair requests as soon as possible. For emergencies during non-business hours, please refer to the appropriate emergency number located in your Guest check in package. There is a $25.00 service charge for Guests who lock themselves out of their property and require emergency service after office hours.

•  GENERAL INFORMATION - Please note the maximum number of people allowed in each rental property. Occupancy is strictly limited to the number of people designated in your Guest License Agreement (babies in cribs are not counted). Overcrowding is cause for immediate eviction without recourse or refund.

•  THINGS TO BRING - We suggest that you bring plastic garbage bags, paper products, daily cleaning materials, staple items, beach towels, and bed & bath linens (if not rented from Spectrum Properties). Most of our kitchens are set up for simple cooking and housekeeping; therefore, you may want to bring your favorite cooking utensils and kitchen towels.
